Ticketing Services Coordinator

The Arkansas Museum of Fine Arts is seeking a full-time Ticketing Services Coordinator to help lead the institution’s ticketing operations.

The Arkansas Museum of Fine Arts (AMFA), located in Little Rock, AR, is seeking a full-time Ticketing Services Coordinator to help lead the institution’s ticketing operations. As a vital contributor to the educational, economic, and cultural fabric of a diverse community, AMFA fosters discovery, creativity, and learning through rich experiences in the visual and performing arts.

Key responsibilities include managing ticketing setup, collaborating with internal departments on ticketing needs, reporting on ticketing, and ensuring smooth and accurate execution of ticketing efforts. Plays a key role in maintaining the accuracy and integrity of ticketing through administration, management, and teamwork.

Primary Duties and Responsibilities

  • Oversee Daily Ticketing Operations: Manage all activities related to ticket sales, including collecting internal details, collaborating on sale schedules, and configuration in Tessitura Software.
  • Problem Solving: Offer guidance and problem-solving for issues and questions that arise around ticketing.
  • Meeting Deadlines: Ensure timely completion of projects and be flexible with workload sizes and altering configurations.
  • Reporting and Analytics: Report on statistics related to ticketing programs as needed. Utilize Lists and Extractions along with various internal reports. Schedule recurring reporting and manage ticketing report schedules.
  • Ticketing Setup: Set up promotions, subscriptions, pricing rules, performances, fees, offers, and more in Tessitura.
  • Ticketing Resource: Assist guest services staff with occasional needs in ticket setup in Tessitura and create Standard Operating Procedures for new processes and procedures when appropriate.
  • Power User: Be a lead for ticketing for software updates and assist the guest services team with upgrade testing and utilization.
  • Customization Upkeep: Keep education ticketing customization up to date and ensure proper use in applicable performances.

Candidate Profile

  • CRM Experience: Knowledge of ticketing systems and CRM platforms (Tessitura experience preferred). Can develop a thorough knowledge of ticketing policies and database/CRM skills to a level of proficiency required for this position.
  • Communication Skills: Excellent communication and problem-solving skills. Ability to work with multiple internal departments and effectively translate programs into ticketing.
  • Detail Oriented: High attention to detail and commitment to data accuracy and integrity.
  • Self-Starter: Capable of working under pressure, prioritizing tasks, and meeting deadlines with minimal supervision.
  • Familiar with Microsoft: Proficiency in Microsoft 365 Suite (Outlook, Teams, SharePoint, Word, Excel).

Working Conditions and Physical Requirements

Physical Demands:

  • Regularly sit for prolonged periods of time at a desk (up to 5 hours at a time).
  • Regularly use hands and fingers for typing, handling documents, and operating office equipment.
  • Occasionally stand and/or walk.
  • Occasionally bend, reach, or lift up to 10 lbs.

Communication Demands:

  • Ability to speak clearly and hear well enough to communicate effectively in person, over the phone, and via video conferencing platforms.

Vision Demands:

  • Regular use of visual acuity to review written materials, observe large crowds and provide detailed observations.

Work Environment/Exposure:

  • Work is performed in a professional office setting with moderate noise levels typical of an open office (e.g., conversations, printers, phones).
  • The environment is climate-controlled with standard lighting and ventilation.
  • May involve occasional interruptions and interactions with team members and visitors.
